There probably isn't a person among us who hasn't experienced the now stereotypical frustration of using a computer that seems to be running - and losing - a race with a turtle. We've all furiously clicked on the Internet icon only for it to just hang there. And if you've ever waited...and waited...and waited for an email to download, you know how frustrating it is when your network is sluggish and seemingly on the verge of checking out altogether.
But there are things you and your coworkers can do to improve network efficiency and get your computers back up to speed (pun intended).
Here are three must-use tips for improving network efficiency:
1. Update your antivirus software. And don't assume that because you have an icon for antivirus software that it's automatically working. Too many times, people get those user messages about antivirus software getting ready to expire, and they just click the box to make it go away, figuring they'll deal with it another day. When the due date comes for renewal and they still have the Norton or McAfee logo on their desktop, people assume the software is still working when it may not be.
Just be aware that due dates exist and your antivirus software does have to be properly renewed (read: paid up) in order for it to work. If you're unsure about how to renew it, talk with your IT department, which can advise you on what to do.
2. Use a shared drive for large files that hog up network space. Examples of these types of files include PowerPoint presentations, video, photo images and other media. Instead of emailing out pictures of the office picnic, for instance, upload them to a community drive that is accessible to all team members.
Being alert to what kinds of files can slow down systems is a great first step in helping increase your network's efficiency. If everyone has access to a team site, the entire network will move much more quickly.
3. Make sure your network is being updated and upgraded appropriately to address new user demands. Has your company recently gone on a hiring boom, and now 40 more people are using the company IT resources? If so, you should make sure your server has the capacity for each employee to work at maximum efficiency. The downside is that you may have to approach management about investing in more resources, but the costs will be more than made up in increased productivity and fewer user frustrations.
